Global User Guide

The root administrator can define Global Users, who have partial administrator privileges. They can see all the accounts in the system and their data, and, if they have red/write permissions, they can also make changes.

There are two types of global users:

This document refers to the Global Users with read/write permission.

The Global Users with read-only permission only have a sub-set of features available. If you cannot see the all the features described here, it means you have read-only permission.

When you are defined as a new user in VF360, you receive a New Account notification from the VF360 support team at the email address set as your VF360 login name. For information regarding the login process, see Log Into ViewFlow360.

After you enter the system, to navigate among the VF360 screens, select the  Menu icon and select the view you need. The default view is the general Dashboard which offers a big picture of all the accounts in VF360 and their essential information.

In this you must enter the general settings of VF360, such as the root administrator information, the global hot folder, the map dashboard settings and so on.

Account parameters

Field

Description

Name

The name of the global user.

Email

The email of the global user, as defiled by the root administrator in Menu > Accounts and Users > System Users > Global Users.

Date Format

The format of the dates this user sees in the system. The options are DD/MM/YYYY and MM/DD/YYYY.

PERMISSION

The access permission for the global user, such as Read Only or Read/ Write.

SALES

  • The Credit alert email message is sent when the Credit balance value reaches the value set in the Threshold1 field for Pre-paid contracts Accounts.

  • Expiring contract:

    • one month prior to contract expiration based on ‘Contract expiration date’ in Accounts profile

    • two weeks prior to contract expiration

    • one day prior to contract expiration

    • once the contract has expired

  • Monthly overall report (contains all the data available in the table in the Reports > Dashboard page).

  • Monthly overage report (contains data for accounts which have negative balance for at least one of the monitored flow steps).

FINANCE

  • Missing invoices - weekly emails are sent on Monday for every "purchase action without invoice" uploaded.

  • Credits purchased - once credit amount is purchased for Account with Pre-paid contract.

  • Monthly overall report - contains all the data available in the table in the Reports > Dashboard page.

  • Monthly overage report - contains data for accounts which have negative balance for at least one of the monitored flow steps.

WORKFLOW ERRORS

  • Notification for each change of the workflow state.

  • Notifications for keep alive messages.

  • Notifications for each XML which cannot be parsed:

    • unknown account - account cannot be read in XML ('event account_name' element)

    • timestamp in future - future date provided in XML (‘time_stamp’ element)

    • unknown error - the XML structure cannot be parsed

H/W ErrorS

  • Notification for each change of hardware state.

  • Notification Keep alive messages.

  • Notifications for each XML that cannot be parsed:

    • unknown account - Account cannot be read in XML ('accountName' element);

    • timestamp in future - future date provided in XML (‘timeStamp’ element);

    • unknown error - XML structure cannot be parsed.

  • Notifications for event, when the Maintenance mode is ON/OFF for the Account server.

SOFTWARE/MODULES ERRORS

  • Notification for each change in the system/module state.

  • Notification for Keep alive messages.

  • Parsing error for system XML.

  • Notifications for event, when the Maintenance mode is ON/OFF for the Account system/module.

SOFTWARE/MODULES VERSION &

LICENSES NOTIFICATIONS

  • Notifications when the System/Module is installed.

  • Notifications that the System/Module is about to expire (based on Expiration date).

  • Notification that the System is up to date - the latest available System version has been installed by the Account.

  • Notification that a new version of the System/Module is available.

  • The security Code entered during System and Module reporting via the Agent application, does not match any Code in the system.

Turn ON the switch of the notifications you want to receive.

Select Save to save the changes.

Messages and notifications

The types of messages and notifications you receive are determined by the type of user you are (global user, account user, view-only user) and the notification options the administrator has selected for your user in VF360.
